Understanding Overtime Hours in Payroll Reports

Our Payroll Report, available under Attendance Reports in the Reports Module, breaks out regular and overtime hours based on local overtime rules. This feature ensures that overtime pay is calculated accurately, helping you comply with local labor laws.


How Overtime is Calculated


The Payroll Report calculates overtime based on the location of your center, which is set in the Set Up Module. The system automatically applies the appropriate overtime rules, whether your center is located in Canada or the United States.

Canadian Overtime Rules:

  • British Columbia (BC): Overtime is applied after 8 hours in a day or 40 hours in a week, with double time after 12 hours in a day.
  • Alberta: Overtime applies after 8 hours in a day or 44 hours in a week.
  • Saskatchewan: Overtime applies after 8 or 10 hours in a day (depending on agreement) or 40 hours in a week.
  • Manitoba: Overtime applies after 8 hours in a day or 40 hours in a week.
  • Ontario: Overtime applies after 44 hours in a week.
  • Quebec: Overtime applies after 40 hours in a week.
  • New Brunswick: Overtime applies after 44 hours in a week.
  • Nova Scotia & PEI: Overtime applies after 48 hours in a week.
  • Newfoundland and Labrador: Overtime applies after 40 hours in a week.
  • Yukon, NWT, and Nunavut: Overtime applies after 8 hours in a day or 40 hours in a week.

U.S. Overtime Rules:

In the U.S., the federal Fair Labor Standards Act (FLSA) typically requires overtime to be paid after 40 hours in a workweek for non-exempt employees. However, some states have their own rules.

U.S. States with Additional Overtime Rules:

  • California: Overtime applies after 8 hours in a day or 40 hours in a week. Double time applies after 12 hours in a day or after 8 hours on the 7th consecutive day.
  • Alaska: Overtime applies after 8 hours in a day or 40 hours in a week.
  • Colorado: Overtime applies after 12 consecutive hours in a day or 40 hours in a week.
  • Nevada: Overtime applies after 8 hours in a day or 40 hours in a week for employees earning less than 1.5 times the minimum wage.
  • Minnesota: Overtime applies after 48 hours in a week for employees not covered by FLSA; otherwise, follow federal rules (40 hours per week).
  • New York: Overtime applies after 40 hours in a week, with additional rules for FLSA-exempt employees.
  • Oregon: Overtime applies after 40 hours in a week, with additional rules for specific sectors (e.g., agricultural workers).
  • Washington: Overtime applies after 40 hours in a week, with specific restrictions for licensed healthcare workers.

States That Follow Federal Overtime Rules (FLSA):

These states follow the standard FLSA rules and apply overtime only after 40 hours in a workweek:

  • Alabama, Arizona, Arkansas, Connecticut, Delaware, Florida, Georgia, Hawaii, Idaho, Illinois, Indiana, Iowa, Kentucky, Louisiana, Maine, Maryland, Massachusetts, Michigan, Mississippi, Missouri, Montana, Nebraska, New Hampshire, New Jersey, New Mexico, North Carolina, North Dakota, Ohio, Oklahoma, Pennsylvania, Rhode Island, South Carolina, South Dakota, Tennessee, Texas, Utah, Vermont, Virginia, West Virginia, Wisconsin, Wyoming.


How to Access and View Overtime Hours:

To view overtime hours:

  1. Navigate to the Reports Module.
  2. Select Attendance Reports.
  3. Choose Payroll Report.


The report will automatically display a breakdown of regular and overtime hours, applying the appropriate rules based on the center's location, ensuring accuracy and compliance.
