The Parent Portal provides access to various features for managing your family’s account, including your students' profiles, payments, and other important information. The access and permissions you have will depend on whether you are the Primary Member or one of the Other Portal Members. Below is a breakdown of what each type of member can view, edit, and access.
What is a Multi-Member Portal Account?
A Multi-Member Portal Account exists when more than one member of the family has their own portal login credentials. Although a family account may have multiple members (such as parents, guardians, or other authorized individuals), it is only considered a Multi-Member Portal Account if more than just the Primary Member has an account they can log into.
PORTAL: Primary Member (When the Primary Member is the ONLY Portal Member)
Portal Dashboard:
- The Primary Member can view all student-related information, updates, sign agreements and summaries.
Communication:
- Journals: View-only access to all student journals.
- Agreements: View-only access to all student agreements.
Financials:
- Profile: Full access to view and edit the profile details.
- Ledger: Full view-only access.
- Finance: Full access to view payments and invoices made by the Primary Member. View-only access to third-party payments (e.g., subsidies).
- Year End: Access to tax receipts for payments made by the Primary Member.
Students:
- Profile: Full access to view and edit the student’s profile.
- Registrations: Full access, including the ability to create new registrations for the student.
- Attendance: Read-only access to attendance records.
- School RSVP: Full access, including the ability to create new RSVP entries for events.
- Create New Student: The Primary Member can create new student profiles.
Members:
- Info: Full access to view and edit personal information for all portal members.
- Payment Info: Can only view and edit their own payment information.
- Create New Member: Access to create new portal members.
PORTAL: Multiple Portal Members
Primary Member (in a multi-member portal account):
The Primary Member retains most of the same permissions as outlined for single-member portals, with the following exceptions:
Financials:
- Profile: Full access to view and edit their own financial profile.
- Ledger: Full view-only access.
- Finance: Can view only their own payments and invoices. View-only access to third-party payments (e.g., subsidies).
- Year End: Can view only their own tax receipts.
Members:
- Info: The Primary Member can only view or edit the following fields for other portal members:
- Avatar
- First Name
- Middle Name
- Last Name
- Preferred Name
- Relationship
- Occupation
- Status (Legal Guardian/Emergency Contact/Other)
- Pickup Authorization
- Payment Info: Can view and edit their own payment information only.
- Create New Member: Cannot add new portal members.
IMPORTANT NOTE: The center's admin team will still need to review and approve any requested changed through the Admin Dashboard.
Other Portal Members (in a multi-member portal account):
Dashboard:
- Read-only access of the summary information on the portal dashboard.
Communication:
- Journals: Read-only access to all student journals.
- Agreements: Read-only access to all student agreements.
Financials:
- Profile: Full access to view and edit their own financial profile.
- Ledger: Full view-only access.
- Finance: Can view only their own payments and invoices. View-only access to third-party payments (e.g., subsidies).
- Year End: Can view only their own tax receipts.
Students:
- Profile: Read/write access, but cannot delete the student profile.
- Registrations: Full access, including the ability to create new registrations.
- Attendance: Read-only access.
- School RSVP: Full access, including the ability to create new RSVP entries for events.
- Create New Student: Cannot create new student profiles.
Members:
- Info: Can view and edit their own personal information. For other members, only the following simplified profile fields are displayed (as read-only):
- Avatar
- First Name
- Middle Name
- Last Name
- Preferred Name
- Relationship
- Occupation
- Status (Legal Guardian/Emergency Contact/Other)
- Pickup Authorization
- Payment Info: Can view and edit their own payment information only.
- Create New Member: Cannot add new portal members.
