Quick Start Guide
This guide gives a quick summary of the steps to take when first setting up your ChildFriendly Pro account. Following the recommended order will ensure a more seamless transition. For a more comprehensive guide you can access or Full Version Here.
Step 1: Access the Setup tab to add organization and center details.
- Go through each section in the Setup area to add all necessary information for spaces, groups, rates and programs.
Step 2: Import families and children in the Center tab. Note: Families need to be uploaded before students
After adding families and children, you can view them in the Families module. You can also add them individually from this area.
Step 3: Import and add Staff Members to the system by using the same Import Data button.
Once staff members are added to the system, they can be found in the Staff module, where you can edit their details, or individually add staff.
Step 4: Once all spaces are created in the Setup module, you can then create the center layout in the Attendance module.
Step 5: If you would like to connect ChildFriendly with a third party accounting software, you can do this in one of two ways, depending on which software you are using.
- For Quickbooks: Follow the detailed instructions in the Syncing Quickbooks guide.
- For other systems: In the Reports module> Finance Reports tab>Transaction Report, download the CSV to upload to your accounting software.
View the Finance module to ensure everything has been properly set up.
Step 6: Set up Payment Options - If your center uses pre-authorized debit payments, you will need to connect to Rotessa. When initially connecting Rotessa, there may be a delay of 3-5 business days until approval. If the center uses credit card payments, you will need to connect to Stripe. Stripe and credit payment connections will be set up immediately.
Step 7: Become familiar with areas in both the Dashboard and Communicate modules. Learn how to compose emails and create journals by watching the respective training videos.
Step 8: Authorize all devices. A staff member with admin access will need to first individually login and authorize every device you will be using ChildFriendly on. In the top right of the screen, click the user’s name and then select “Authorize this device.”
