Attendance Overview Guide
The Attendance module provides an overall layout of the center and all areas, such as rooms, yards, gym, cleaning area, prep and the kitchen.
Access the Attendance Panel
The Attendance module is the first screen you see when you first login or open the ChildFriendly app.
The module can also be accessed from the left-hand side menu:
1. Click the Attendance icon.
2. Click on any room to open the side Attendance panel.
3. The expanded Attendance panel area lets you view all rooms, staff and students. The list of rooms shows every space
in the physical layout. From here, you can sign staff and students in and out as well as view room capacity and any
warning tags. The left-hand side displays all spaces/rooms in the center as well as any staff and students currently
signed in, while the right-hand side displays a list of any staff and students who are currently signed out.
4. If there is any activity happening in the room, this is indicated below the room. Click the drop-down arrows to view any
teams currently active in the room as well as who is signed in.
Pinning and Filtering
You can pin staff and rooms to the top of the list so that they are easily accessible. The filter feature lets staff quickly locate children or other staff and move teams.
1. To pin a room or staff member:
- Click the pin beside the room or staff member. This ensures the rooms or staff members you pin will remain pinned to the top of the list.
2. To move a team:
- Click the drop-down arrow beside Search Students.
- Select your Group - in the below example, the group name is Bears.
- You can also filter by adding another group; for instance, the class next door who may come to your room for morning snack.
3. Lastly, filtering can also be done by grade school if you are doing a bus run.
Room Details
Each group/room shows details about the children and staff. The numbers in brackets,
such as 1/12, represent how many children are present and the capacity in the room.
1. Click on a group name to open a list of all staff and students in that room.
2. Rooms will be coloured once any staff or children are signed in.
- Gray indicates no one is in that room.
- Green means compliant - the staff to child ratio is good.
- Yellow is a warning showing that there is more than one team with different ratio requirements in the room.
- Red means the room is non-compliant.
Child Details
To view details about a child:
1. Click on the room
2. Click on the child’s name.
3. If the child is signed out, you can search for the child in the right-hand side menu and select the child from there.
4. If a child has a triangle with an exclamation mark beside their name, this indicates a “warning” such as an allergy.
5. Hover over the warning symbol to view specific warnings for the child. In this example, two additional symbols appear:
the medical symbol and a warning symbol.
- The medical symbol indicates an allergy, such as nuts, or a medical condition, like asthma.
- The warning symbol is used when a member of the child’s family is flagged.
- The prohibited meal symbol appears when a child is not allowed to eat certain foods, such as eggs, or meal types, such as pork.
6. Click on the child’s name to open their profile.
7. Scroll down to view information related to the warnings. The Allergies & Medical Conditions section shows any
medical warnings. In this example, the child has Asthma.
8. In the next area - Meals - Prohibited Meal Types shows that Eggs, Beef, and Seafood are selected.
9. We can also see at the top that one of the parents’ names is red.
.
10. If we click on this parent's name, the Authorization area shows that he "Is Flagged." The pick-up notes state that he
can only pick up Blake on Fridays. This means that Blake’s dad Marvin is not allowed to pick him up on any other day
except Friday.
11. Click the arrow on the left-hand side to close the child’s profile.
